Overview
Entities are individual pieces of information or data related to the users. For example, email addresses and phone numbers are entities. In this section, we can create and manage entities under a chatbot.
Select the Chatbot tab from the left navigation menu, select the desired chatbot and then select Entity.
Adding an Entity
By default, two entities exist in the system: workativ-email and workativ-mobilenumber.
1.Click on the Create New button.

2. Enter the Entity Name and an optional Entity Description.
3. When you’re done click Save,

4. Enter the Value Name.
5. Select Synonyms to add multiple synonyms for the entity value or select Regex to add a regular expression to search the specific entity value.
6. Enter the synonym (possible values that users can enter for an entity) in the Add a Synonym field.
With the Synonym Entity, you can categorize a bunch of terms as one Entity, say Vehicles and define Synonyms that come under it by providing examples, like “car”, “bike”, “truck”, etc.
7. Click Add More to add another synonym and repeat the same to add more.
8. When you’re done, click Save.

9. If you select Regex, add a Regex in the Add a Regex field.
The Regex field allows you to define specific sequences for a particular entity value. A Regex must be entered as a regular expression in the text field.
Example: Your Entity category can be contact_details and the term you define under it can be phone_number. With a Regex Entity, you can set the exact length of the phone number that your users will prompt the virtual assistant with. For example, in India, a mobile number is ten characters in length and you can set the Regex with a regular expression like: “(\d{10})”. Setting this regular expression will help your virtual assistant to prompt the user to enter a correct number if the character length is too short, or too big.
NOTE: For each Entity, you can add up to five Regex and each Regex can have 512 characters only.
10. Click Add More to add multiple Regex.
11. When you’re done, click Save.

Adding Entity Values
Once you are on the Values page, you can add more entity values according to your requirement.
Click on the Add button and follow the same process as explained above.

Editing Entity Values
Once you have added the values, you can edit the name of the value on the Values page.
Click the Edit button for the desired Value.

Make the desired changes and click Update.
Deleting an Entity Value
You can delete one entity value at a time or multiple values at once.
1. Click the Delete icon on the extreme right side of the desired Value.

2. Click Yes in the confirmation pop-up.
3. Alternatively, you can select the desired values and click on the Delete button on the top-right corner.
4. Click Yes in the confirmation pop-up.
Changing Page View
Click on the List View or Card View button to switch the view of the Entity page.


Searching an Entity
If there is a large number of Entities, you can use the Search feature on the Entity page to search the desired Entity.
1. Click the Search bar on the top-right corner.
2. Enter the name of the desired Entity and the result grid will be automatically updated with the entities with the matching name.
